· The virtual attendance is considered equivalent to regular attendance in terms of calculating hours and the minimum number of hours required to be present, which should not be less than 25% of the total hours of the course/training in asynchronous electronic mode or blended learning, for programs that last more than one month.
· The number of participants in the virtual class/training course should not exceed 35 students per virtual class or 25 trainees per instructor to ensure effective interaction. An increase of up to 25% in the number of students is allowed in the virtual class/synchronous training course based on: 1- The type of course/training 2- Activities and interaction 3- The experience of the faculty member/trainer in delivering electronic-learning/electronic training.
· An increase in the number of trainees in a synchronous training course requires assigning an assistant instructor to the primary instructor for every 50 trainees if the course duration is less than one month or 60 hours. If the course exceeds one month, the ratio should be 25 trainees per instructor. As for asynchronous training, there is no upper limit to the number of trainees, and the course duration must be at least one month. If the course exceeds one month, at least 25% of the training content must be synchronous.
· Monitoring and tracking student/trainee access electronically on the online systems and recording the attendance time for virtual classes/training courses is conducted. The courses and activities they have engaged in are documented, with the time spent on each being recorded.
· The electronic systems automatically monitor and record attendance and absence in virtual classes.
· Clarify at the beginning of each course on the Learning Management System (LMS) the schedule and number of virtual classes for the course in its designated section within the system, along with the governing rules for attendance and the required attendance percentage.
· Students must adhere to proper behavior during virtual classes. In case any student violates the University's code of conduct, the instructor has the right to take appropriate actions based on the established educational regulations and policies.
· Monitoring attendance and absence, with weekly reports sent to academic systems.
· Clarify the attendance and absence policy on the Learning Management System (LMS).
· The student’s failure to meet the minimum required percentage in the electronic attendance system (not less than 25%) will result in them being denied entry to the final exam.
· Monitoring students' activities/performance on electronic systems through available tracking systems, in addition to developing and implementing new software systems within the department for this purpose.
